    🚨 In the last two years alone, major data breaches at edtech providers like Illuminate Education and PowerSchool have exposed the personal information of millions of students—from birth dates and addresses to health records and special education details. As schools increasingly rely on third-party SaaS tools, these incidents highlight a critical truth: No vendor, no matter how big or influential, is immune to cyberattacks. That’s why I’m passionate about school data sovereignty—the idea that educational institutions should maintain full control over their data, especially sensitive PII (Personally Identifiable Information) of students and parents. Sharing this data with external suppliers isn’t just risky; it’s a potential disaster waiting to happen. We’ve seen ransomware attacks on charter schools and retirement plan administrators compromising thousands more. Prioritizing data protection means: • Auditing vendors rigorously: Demand transparency on their security practices and data handling. • Minimizing data sharing: Only provide what’s absolutely necessary, and anonymize where possible. • Investing in on-premises or sovereign solutions: Keep critical data under your roof to reduce third-party risks. After reviewing DeepSeek AI's privacy policy, I discovered some concerning practices that every educator should know about: • They collect and store ALL conversations, keystroke patterns, and uploaded files • Data is stored on servers in China • They track cross-device activity • They share data with third parties • There's no clear data deletion guarantee But there's good news! I've created a comprehensive video guide showing how to run DeepSeek models completely offline using LM Studio. It doesn't have to be DeepSeek either; this approach can run many models locally. This means: • Safe interactions with AI • Full control over your data • FERPA-friendly implementation • No external data sharing As educators, we have a responsibility to protect our students' privacy while embracing innovative teaching tools.     If you’re a CIO/CTO in K‑12 or higher ed, you don’t have time to become a privacy expert to evaluate vendor platforms. Evaluate them on their responses to these 5 questions. I encourage every EdDataHub customer to ask these questions to any vendor that touches student data.. 1.) Where exactly does our data live, and under whose cloud account? 2.) Can we see audit logs of who accessed our data and when? 3.) How do you detect and respond to unauthorized access? (In hours, not marketing words.) 4.) What are our rights to export and delete data if we leave? 5.) Will you put those answers in the contract, not just the sales deck? If a vendor can’t answer these plainly, that’s a trust problem. I strongly believe that institutions should have 100% control on their data i.e Aggregated or Lakehouse. Don't lock yourself in License agreements and contracts. Tools come and go. The paper trail and the audit log are what you’ll be defending in front of your board.

    Schools now depend on an average of 2,591 edtech tools in a single school year, according to one estimate. These tools can track private conversations between teachers and families and store comprehensive academic and personal records. Yet many companies do not clearly disclose how they collect and use student information. According to one nonprofit, 96% of apps used in schools share student data, such as email addresses and birth dates, with third parties, such as advertising entities. This often occurs without parental or student consent and, therefore, is likely in violation of the Family Educational Rights and Privacy Act (FERPA). FERPA is a federal law that requires educational institutions that receive federal funding, as well as third parties with whom they share student data, to protect the privacy of student educational records. Institutions must obtain consent from either the parent or student, if the student is 18 or older, prior to releasing these records and maintain reasonable measures to keep education records secure, such as by utilizing password-protected portals and overseeing third parties’ use of data.

The 'black box' problem of AI, where complex algorithms make decisions that are difficult to interpret or explain to educators, students, or parents. 4. Ensuring digital equity, preventing a widening gap between those with access to advanced AI education tools and those without.     A lifelong academic ID for every child sounds efficient. But it also creates a lifelong data trail. Are we prepared for that responsibility? The new APAAR ID aims to simplify a student’s academic journey with a single permanent digital record. No lost marksheets. No repeated paperwork. Seamless transitions across schools and institutions. The intent is clearly positive and aligned with India’s digital vision. However, as highlighted in a recent India Today article that also carries my views, the real challenge is not the idea, but the implementation. When we create a centralised, lifelong academic identity for children, we are also creating a high-value data repository. Over time, this can accumulate marks, demographic details, achievements, behavioural indicators and more. If such a system is breached, misconfigured, or misused, it is not just individual records at risk, but potentially an entire generation’s data. There is also the risk of function creep. Data collected for academic continuity today could gradually be used for profiling, screening, or decision making tomorrow. A child’s early academic record should not become a lifelong label. Every student must have the ability to evolve, make mistakes, and start fresh. This is why the success of APAAR will depend on how securely and responsibly it is built. At a minimum, the framework should include • Strong encryption of data at rest and in transit • Strict role based access controls with least privilege • Clear purpose limitation and no secondary use without explicit consent • Transparent audit trails and independent security assessments • Defined data retention policies and the right to restrict or revoke access • Clear accountability and grievance redressal for parents This is not about opposing the initiative. APAAR can genuinely reduce friction and improve trust in academic records. But when the system is designed for children and meant to last a lifetime, privacy and security cannot be an afterthought.     I always held that marketeers in the education domain must practise and be held to higher standards. When everything is brought down to ‘enrolments’, and RoI, they end up marketing for a sweat shop than an educational institution. Diversity, merit and equity must be targets too. Student is not a commodity nor education an FMCG product. Education domain is replete with instances of rampant data abuse and data theft. - While data for SNAP, VITEEE, BITSAT isn’t up for sale, the entire student data of NMAC and XAT is up for sale. Thankfully, 8 of the top 10 universities that Careers360 works with have their own CRM or an customised ERP and their data is secure. - This year, we had an institution which sacked its entire marketing team for selling all leads generated, in collusion with the CRM provider. The money involved was in crores. - I watched a CRM doing a pitch to a university I was helping. In response to a question, they showed data of competitors and how they transformed enrolment matrices. - My team was contacted by someone who will help us ‘increase’ our data. It so happens that the coordinates were of a CRM. Integrity of CRM provider and data security are two sides of the same coin. When marketeers decide on a CRM for the dashboards than security features and ethics, university will suffer. Very soon, universities will face legal and regulatory challenges for the failure of CRM provider. SAS platforms must not have access to institutional data. SAS platforms must be blind to institutional performance. SAS platforms must not play one against the other. SAS platforms must look at improving the product. Security layers, restricted access must be a rule. Strict confidentiality clauses must be a rule. This is also about ethics and the institutional DNA. When institutions have scant regard for data once used, the ethos is transactional. So, the questions that institutions must ask themselves are: What do students who engaged with us but did not join, mean to us? Do we give access of our student data to third parties? Do we allow third parties to use our data to play one up? Do we allow our university to get into a regulatory and legal trouble because a third party failed? Is student enrolment a transaction or a relationship? Is the university a sweat shop? Is student a body count? What does education mean to you? What does student mean to you? What does a university mean to you? Think.
