    One of the biggest productivity lessons I learned moving from 2025 to 2026 is this: AI tools should replace work — not add more complexity. Over the past year, I simplified my workflow and focused only on tools that genuinely improve productivity and decision-making. Here’s how my stack evolved: 1. Gamma replaced PowerPoint — creating presentations, slides, and visual content directly from prompts instead of spending hours formatting. 2. Wispr AI replaced traditional typing — converting speech into structured text, dramatically increasing writing speed and efficiency. 3. Claude replaced my primary writing assistant — providing clearer thinking, better structured responses, and more human-like communication. 4. Grok replaced traditional Google searching — delivering real-time answers and insights without scrolling through endless links. 5. Gemini replaced Ideogram for image generation — enabling more accurate visual creation and editing with fewer iterations. 6. NotebookLM replaced Google Scholar for research — turning uploaded sources into an interactive knowledge assistant for faster learning and analysis. 7. Opus Pro replaced manual video editing workflows — converting long content into multiple short clips within minutes. 8. Granola AI replaced traditional meeting transcription tools — generating cleaner, more meaningful meeting notes without interrupting conversations.     AI productivity tools are real. These are 3 that deliver tangible leverage. In our world, leverage is everything. I am constantly testing new technology to find what actually works, not what is just a distraction. This is my current productivity stack. 1. Wispr Flow This is the most powerful voice-to-text automation I have used. It took my output from a 30-40 wpm bottleneck to 130 wpm. Its ability to handle accurate punctuation across all communications is a fundamental game-changer. 2. Fyxer AI An AI assistant directly connected to my inbox. It classifies all incoming email and, more importantly, drafts accurate replies for me. The company claims it gets you back an hour a day. I have found this to be accurate. 3. Lindy AI This tool allows non-technical people to build custom AI agents using simple prompts. This is key. You can automate any repetitive digital task. I use it for meeting prep, where it provides summaries of attendees and our past comms, and for post-call breakdowns, delivering clear topics and next steps. Even with the best hacks, organizations often struggle to manage time effectively. As legendary management consultant W. Edwards Deming noted in 'Out of the Crisis: “94% of problems stem from systems, not people.” 🔑 So, how can organizations elevate productivity at the system level? Daniel Markovitz’s January 2021 HBR article (shared herewith) offers four impactful strategies: 1️⃣ Tiered Huddles: Regular, structured meetings across all levels—from frontline teams to executives—enable faster decision-making and reduce email overload. Team productivity thrives when responsibilities are balanced with decision-making authority. 💡These strategies are more than operational tweaks—they create a culture where streamlined systems drive both efficiency and employee satisfaction.     𝟯 𝗜𝗺𝗽𝗼𝗿𝘁𝗮𝗻𝘁 𝗧𝗲𝗮𝗺 𝗣𝗿𝗮𝗰𝘁𝗶𝗰𝗲𝘀 Teams operate as dynamic systems influenced by interdependencies, feedback loops, and external pressures. When working with Teams, we apply systems theory— recognising that the team is not just a collection of individuals but an interconnected system where each part affects the whole. Establishing clear agreements, commitments, and contracts (codes of conduct)  provides the structural integrity that enables teams to function effectively, especially in times of uncertainty or conflict. One of the first steps in my work with teams is creating a framework that defines how the team will work together. This involves: -Agreements: Establishing shared norms and expectations that govern behaviour and interaction. -Commitments: Clearly articulating what team members can rely on each other for. What they agree to be accountable for and how they will work through conflict and disagreements constructively. -Contracts: A Team Code of Conduct embeds these agreements and commitments in a structured, actionable format to ensure accountability, shared understanding and alignment. I guide this process as the team coach, sponsored by the Team Leader and co-created by the team. This approach focuses on a growth mindset within the team across engagement and effectiveness. The team sees challenges as opportunities to learn and improve, problem solve and connect with innovation and creativity rather than seeing them as threats. These agreements build the foundation for ongoing high performance within a healthy team culture. Yes, this requires effort upfront. The long-term, lasting benefits are invaluable. Here are some results from the process: This team improved their performance across both engagement and effectiveness.     🔍 Ever feel lost in a sea of tasks? I did, until I discovered the Pomodoro Technique. It's a simple yet powerful way to enhance focus and productivity, one that I've personally found transformative. Here's how I've been using it to sharpen my focus. I start by setting a timer for 25 minutes, dedicating this time solely to work, followed by a 5-minute break. These intervals, called "Pomodoros," are short enough to maintain high levels of concentration and long enough to make significant progress on tasks. What surprised me was not just the improvement in my work quality, but also in my well-being. The scheduled breaks kept me refreshed and less prone to burnout. Plus, the sense of accomplishment after completing each Pomodoro was incredibly motivating. One of the key benefits I noticed was how it helped me break down large projects into manageable chunks. This made daunting tasks feel more approachable and reduced my inclination to procrastinate. Another unexpected advantage was the boost in my time management skills. By being more aware of how I was spending my minutes, I became more efficient in other areas of my life too. Critically, the Pomodoro Technique taught me the value of single tasking over multitasking. The focus on one task at a time led to higher quality work and less stress. Adopting this method has not only improved my productivity but also my approach to work and life. It's a testament to the power of simple changes leading to significant impacts.
