It saved time by addressing something that plagues many workplaces: unnecessary, outdated, or low-value tasks. I see this initiative as a great reminder to us all that meaningful change doesn’t always require big budgets or sweeping overhauls—it often starts with identifying and eliminating the small, frustrating #inefficiencies that drain time and energy. Here’s how it worked: 👉 #Frontlinefeedback: Nurses were encouraged to submit suggestions for tasks they felt were unnecessary or outdated. 👉 #Evaluation: The leadership team reviewed submissions to identify tasks that could be streamlined, automated, or removed entirely. 👉 #Action: Based on this feedback, they eliminated redundant forms, simplified processes, and cut out tasks that no longer added value. The results? Not only did they save hours, but they also improved morale, reduced burnout, and created more time for nurses to focus on what truly mattered to them, which was caring for patients. 💡 💡An initiative like this only works when leaders step off the hamster wheel and make time to listen to their teams. ❗ Ideally, we would involve people in this kind of improvement work all the time. Every day and every week! And yes there are some client-facing jobs where it's difficult to make time for this but that's not an excuse! There's always a way to involve people and make their voices heard. So...if you are struggling to make time for improvement. Start with these three steps: 1️⃣ Ask your team: What are the “stupid stuff” tasks in their day? Encourage honest feedback in a safe, judgment-free way. 2️⃣ Evaluate together: Work with those directly impacted to assess which tasks genuinely add value and which don’t. 3️⃣ Act boldly: Once you’ve identified unnecessary tasks, have the courage to remove or simplify them. And as people's time is freed up, due to less wasted time, they will have MORE time to invest in proactive improvement work This isn’t just about cutting tasks; it’s about respecting people’s time, reducing stress, and enabling teams to do their best work. ❓ Thoughts? Want more listings or deals? Recently, I've been watching the documentary "How It's Made," and it got me thinking... we need to start thinking like a factory, not freelancers. Take light bulbs, for example. In 1926, the ribbon machine automated light bulb production. Before that, workers made bulbs by hand. Each one could produce about a dozen per hour, and output varied wildly between workers. The ribbon machine changed everything, cranking out over 1,200 bulbs per minute, with consistency. It wasn’t about working harder. It was about building a better system. Most brokers still run their business like they’re Thomas Edison hand-making light bulbs. Manual processes. Inconsistent follow-up. No real structure. Even the most talented person is still capped on production without a system behind them. Here’s how to fix it: 1. Know your inputs and outputs Deals don’t appear out of thin air. Calls, meetings, leads, proposals, listings, tours... all raw materials. What goes in should drive what comes out. Track both. 2. Standardize what repeats If you're rewriting the same emails or listing descriptions every time, you’re burning time. Create templates once, reuse often. 3. Batch your work Jumping between tasks slows you down. Set blocks of time for research, prospecting, follow-ups, and proposals. One task at a time, done right. 4. Find your bottlenecks Where does your pipeline stall? Fix it. Don’t just power through. Systemize or delegate. A few hours of deep work can save you weeks. 5. Track your process like a production line Factories know their cycle times and yields. You should know your days on market, close ratios, follow-up response rates. Data drives better decisions. Ever felt the confusion of a never-ending to-do list?? Feeling overwhelmed by tasks can paralyze progress - I know, because it used to happen to me on a regular basis. The result was a not-so-fun cycle of stress and inefficiency. What saved me from the endless loop of writing everything down I 'wanted' to get done? Embracing the 1-3-5 Rule. Before the 1-3-5 Rule I'd literally write everything I wanted to get done for the day and just march down the list. There was very little rhyme or reason. So what's the 1-3-5 Rule? 1️⃣ Major Task – the one task that absolutely needs your full attention and will have the biggest impact. 3️⃣ Medium Tasks – still important, but not quite as heavy-lifting as the major one. 5️⃣ Small Tasks – quick, easy wins that keep you moving forward without sapping your energy. Here's why it works: It Prevents Overwhelm: By focusing on just a handful of priorities, you avoid feeling buried under a mountain of tasks. Focus on Quality: Your biggest task gets the attention it deserves, rather than being rushed or skipped. Builds Momentum: Tackling five small tasks keeps morale high—who doesn’t love ticking items off a list? Boosts Productivity: A realistic daily plan means fewer distractions and more meaningful progress. Make sense? Now you try it: 1. Brain Dump Your Tasks: At the start of the week (or day), jot down every task swirling in your head. No filter—just write. 2. Categorize by Priority: Sort them into major, medium, or small based on impact and complexity. 3. Create Your 1-3-5 List: Choose one major, three medium, and five small tasks to tackle. 4. Start with the Biggest Task: Dedicate your prime morning hours to your major task. Minimize distractions by turning off notifications or skipping non-essential chit-chat. 5. Use the Pomodoro Technique: Work in focused sprints (25 minutes on, 5 minutes off) to keep your energy and focus sharp. I bought a timer on amazon to help with this and it has been super helpful.
