Here’s how I cut through the noise…without burning out: 1/ I write down everything I’m being asked to do ↳ Not in my head ↳ Not across five tabs ↳ One clear list Example: I use a “Priority Dump” page in Quip where I jot down asks from Slack, email, and meetings as they come in. 2/ I rank by consequence, not loudness ↳ What breaks if I don’t do this? ↳ Who’s impacted if this waits? Example: A VP ping may feel urgent, but if a missed handoff causes a team to block…it moves up the list. 3/ I stack-rank with input ↳ I ask stakeholders where they’d put it ↳ Then I sanity check that against actual impact Example: I’ll message the product owner and say, “If I only get to one thing today, should it be X or Y?” That context is gold. 4/ I protect my time with time blocks ↳ The most important thing gets a calendar hold ↳ Admin work gets batched for later Example: My mornings are for deep work. I don’t check Slack until I finish my top 1–2 tasks. 5/ I say no with context ↳ “Not now because I’m focused on A, B, and C” ↳ People respect a thoughtful no Example: I once said no to joining a strategy session because I was leading a cross-team launch. I’d stare at my laptop, knowing I had content to post, messages to respond to, and offers to promote but all I wanted was to sink into the couch and scroll aimlessly. 🤔Sound familiar? Then one day, I realized: I was treating my business like a side chore instead of the life-changing mission it was meant to be. On alternate days before 9 AM, I followed up with clients. Some days were also for course creation and learning—because what we know isn’t always enough to grow. ✅ This gave my business structure without overwhelming my day. ✅ My mornings became creative zones; evenings were for me. 𝟐. 𝐂𝐫𝐞𝐚𝐭𝐞 𝐚 "𝐂𝐄𝐎 𝐏𝐨𝐰𝐞𝐫 𝐇𝐨𝐮𝐫" 𝐖𝐞𝐞𝐤𝐥𝐲 👉 Example:Every Sunday, I spend just 60 minutes reviewing my goals, updating my calendar, and prepping my LinkedIn content. ✅ I walk into the week knowing what matters most. ✅ No more posting on the fly or wasting time deciding what to focus on. 𝟑. 𝐏𝐫𝐨𝐭𝐞𝐜𝐭 𝐏𝐞𝐫𝐬𝐨𝐧𝐚𝐥 𝐓𝐢𝐦𝐞 𝐋𝐢𝐤𝐞 𝐚 𝐁𝐮𝐬𝐢𝐧𝐞𝐬𝐬 𝐌𝐞𝐞𝐭𝐢𝐧𝐠 👉 Example: I schedule workouts, time with loved ones, or prayer time the same way I’d book a client call. ✅ You can’t pour from an empty cup. ✅ Prioritizing yourself is what gives you energy to serve your clients and your 9–5 with excellence. Show me your calendar and I'll show you your priorities... and tbh, mine used to be a hot mess. 😅 As much as I'd like to believe I somehow have less time than every other person in the world and I am just soooooo busy, we all have the same 24 hours. So what separates people who get stuff done and those who roll up on a Friday feeling like they wasted the week? Time blocking. Here's how to do it: 1. Start with your non-negotiables. Block out sleep, meals, and commute time first. These aren't optional. 2. Theme your days. Mondays for strategy, Tuesdays for content creation, Wednesdays for meetings. Your brain will thank you. 3. Block buffer time. I learned this the hard way. Back-to-back meetings kill productivity. Give yourself a few minutes between calls if you can. 4. Protect your deep work blocks like they're client meetings. Because honestly, they're more important than most client meetings. 5. Color code eVErYtHinG. Red for urgent, blue for creative work, green for admin. (I don't do this I separate personal + professional, and only color code unique things I don't want to forget but this is after tons of trial and error) Makes it stupid easy to see where your time actually goes. How to start: Track how you spend each hour for 2–3 days Group tasks into categories (work, admin, distraction, etc.) Spot time leaks and areas to optimize 2) Focus on One Thing at a Time Multitasking feels productive, but it lowers your output and increases errors. How to start: Choose one task and set a timer (e.g., 25 or 50 minutes) Turn off notifications and close unused tabs Don’t switch until the timer ends 3) Give Yourself a Reward Motivation increases when there’s a small win at the finish line. How to start: Set a reward tied to task completion (coffee break, walk, snack) Keep it small but satisfying Don’t skip the reward even for easy tasks 4) Use Apps to Block Distractions Your brain craves stimulation. Removing temptation boosts focus without willpower. How to start: Try apps like Freedom, Cold Turkey, or Forest Block distracting sites during work windows Set boundaries for phone use during deep work 5) Time Block Your Calendar What gets scheduled gets done. Time blocks turn intention into execution. How to start: Plan your day the night before Block 60–90 min chunks for deep work Include buffer time and breaks to avoid burnout 6) Set Clear Daily Priorities If everything is important, nothing is. Prioritization saves hours of indecision. How to start: Identify your top 1–3 priorities each morning Tackle them before checking email or messages Review your list at day’s end to track progress You don’t need to master all 6. To-Do lists are great… until they turn into a monster. I’ve always been a to-do list fanboy. But somewhere along the way, my list became longer than my day. So I flipped the script. Instead of asking: “What task can I fit into this time?” I ask: “What time can I own for this task?” Enter: Time Blocking (aka Time Boxing). Simple idea. Big shift. You don’t find time. You assign it. Each task gets a time slot. No guessing. No scrolling through endless to-do chaos. But let’s be real — the enemy isn’t the task. It’s the distraction. So here’s what helps me protect my time blocks: 1. 1 tab rule — Only one tab open per task. 2. Phone in jail — Airplane mode or across the room. 3. Pre-commit — Tell someone what I’m doing. Public accountability works. 4. 5-min re-entry rule — If I slip, I don’t trash the whole day. I jump back in with a fresh 5-minute push. This isn’t about being a productivity robot. The ability to stay focused is a superpower. Eric Schmidt, former Google CEO, once noted that we create as much information every two days as we did from the dawn of civilization until 2003. He said that back in 2010 – can you imagine what the statistic is now? The point is, distractions are at an all-time high, so if you’re having trouble consistently knocking out that daily to-do list, you’re not alone. Here’s how I block out the noise and focus as much of my energy as possible on what truly matters most... TIME BLOCKING At the beginning of each week, I reserve specific blocks of time for my most important activities. Getting these items on my calendar first forces me to say “no” to other requests, or at least weigh them against the importance of what’s already there. When you can literally SEE how much time is available in your day or week, you get a much better understanding of how ruthless you need to be with your commitments. TASK BATCHING The cost of context switching is almost as high as inflation. I like to group similar tasks together and tackle them in a single sitting. For example, I’ll spend half an hour responding to emails or dedicate an hour to reviewing/approving work products. This eliminates the need to jump between different apps and types of work, which can break my concentration and disrupt my flow for an entire day. PROTECTING “QUIET TIME” When I need to get some serious work done, I turn off all notifications and throw on some background noise using a tool called Endel. It’s impossible to stay focused when you’re constantly being interrupted by pings and alerts, each of which is probably someone else trying to add THEIR responsibilities to YOUR to-do list. There are very few things that can’t wait an hour or two for a response. PAYING MYSELF FIRST I have a personal rule that I always do the 1-2 tasks that will have the biggest impact on MY goals before I even think about doing things for someone else. It sounds conceited, but if I don’t stay committed to my own success, I’ll never be in a position where I can selflessly serve others. By tackling the most important work first, when my energy and creativity are at their peak, I guarantee I’ll make progress on what truly matters before getting caught up in busywork. Distractions are inevitable, but with the right strategies, you can mitigate the effect they have on your productivity. It takes a lot of discipline, but these tactics have been extremely effective at helping me stay focused and get the most impactful work done every single day. What about you? Most of us live by our calendars. Don’t let it control you—take control of it through intentional time blocking to ensure you have time to accomplish your most important strategic objectives. ✅ Block 1-2 hours of focus time each day when YOU are most productive for strategic thinking, not reactive tasks like email. ✅ When you have a big project, estimate the time it will take you to complete it and proactively time block your calendar accordingly, naming the blocks with the project you need to work on during that specific time. ✅ Consider advocating for your team / organization to implement a “no meeting day” to tackle deep, strategic work without distractions. ✅ Schedule meetings to be 25, 45 or 55 minutes instead of standard half hour and full hour meetings to allow for mini-breaks (yes, they’re just as important as meetings).
