But behind the scenes, something important is happening: A nationwide digital transformation of immigration processes — from how residence permits are processed to how applications are submitted. As someone working in German immigration every day, I took a closer look. 🔧 𝗖𝗢𝗥𝗘 𝗦𝗬𝗦𝗧𝗘𝗠𝗦 𝗜𝗡 𝗨𝗦𝗘 🔧 Most immigration offices now rely on one of three main platforms: 🧩 OK.VISA (by AKDB – Bavaria) 🧩 VOIS|ADVIS (by Kommunix GmbH, marketed via the VOIS platform) 🧩 Stranger ABH (by Beister Software) These tools support: ✔️ Digital case management ✔️ Document generation ✔️ Biometric & deadline tracking ✔️ Real-time connections to federal systems like AZR, BAMF, Bundesagentur für Arbeit They also connect with document management systems (DMS) to enable full digital immigration files (E-Akte). 📂 𝗗𝗜𝗚𝗜𝗧𝗔𝗟 𝗙𝗜𝗟𝗘𝗦 𝗜𝗡 𝗔𝗖𝗧𝗜𝗢𝗡 📂 Cities like Minden, Olpe, and Wuppertal have fully digitized their case files. 📌 Example: Wuppertal is scanning 65,000 files in 2024 as part of a €1M federally funded modernization project. For the past seven years, I’ve had a Zero Tolerance Rule for papers on my desk. Here’s my system: 1. I bought a ScanSnap scanner on Amazon (talk about a good investment!) 2. I scan every piece of mail that comes in for the business 3. I drop the files into Slack where my assistant processes and files in Google Drive 4. For personal mail, receipts, and important documents, I use Evernote 5. Once docs are scanned they go into a pile for my 12-year-old to shred (2x per month) The only papers that I physically keep are closing documents, which go into a specific file folder box. For years I had a very messy desk. Papers would pile up and I would feel so disorganized (not a great feeling to have when making quick, big decisions regularly). In my case, an organized desk leads to an organized mind. And an organized mind leads to better decisions. Are you bothered by a messy desk? From AS IS to TO BE model. Why are paperless #eCOO and #ePhyto better? I continue to share key results of the #FeasibilityStudies in Central Asian countries. United Nations ESCAP provided the BPA to analyse AS-IS business processes and developed the TO BE model, in which paper-based documents are no longer used. As a result of the analysis, we identified the following bottlenecks: - Paper COO and Phyto certificates - leads to additional time spent on issuing and receiving the document. For example, when issuing a phytosanitary certificate in Kazakhstan and Uzbekistan, it takes up to 40 minutes for government bodies and up to 1.5 hours for traders. - Protection against counterfeit paper certificates requires additional equipment and special paper, and verifying its authenticity is often difficult. - Additional actions related to the transfer of documents to the carrier, presenting them at the border, scanning, verifying, etc., also result in costs. - Risks of damage, loss, or forgery of paper documents during the movement of goods. In order to achieve better efficiency, we have proposed concrete actions: - TO BE business model for the Kazakhstan-Uzbekistan case on exchanging electronic phytosanitary certificates based on the ePhyto hub. - TO BE business model for the Tajikistan-Kazakhstan and Kyrgyzstan-Uzbekistan cases, based on National Single Windows integration. This model will allow cross-border exchange of data from the electronic database of certificates of origin. The proposed models optimize the entire process: - No labor costs for printing and issuing permits by public sector employees. Significant reduction in certificate processing time for public sector employees and traders. - No costs for obtaining certificates and passing them to the carrier for traders. - No risks of loss or forgery of certificates during the movement of goods. - Optimization of processes at border checkpoints, reducing waiting time for document confirmation. Your messy files are killing your productivity. Finding any file in seconds isn't about having more folders. It's about having the right system. 1. Keep it simple ➡️ Your folder structure shouldn't look like a maze. The 5-level rule: ➕ Never go deeper than 5 folder levels ➕Start broad, get specific 2. Numbers are your friend ➡️ Stop scrolling endlessly for important files. Use this instead: ➕ 01_ for current projects ➕ 02_ for active resources 3. Master your Quick Share system ➡️ Sharing files shouldn't compromise your organization. Create a dedicated Quick Share folder: ➕Copy only what's needed ➕Clean regularly 4. Date everything that matters ➡️ Time is your best organizing principle. Format consistently: ➕2025 for annual files ➕2025-Q1 for quarters 5. Organize by use, not source ➡️ Your files should live where you'll need them. Group by: ➕Projects they belong to ➕Teams who use them 6. Leverage smart search ➡️ Make search work for you, not against you. Add strategic keywords: ➕Use consistent terms ➕Include project names 7. Flag with purpose ➡️ Stars and flags are powerful when used right. The 3-rule system: ➕Daily use only ➕Cross-device access needed 8. Shortcuts over copies ➡️ Stop drowning in duplicate files. Instead: ➕Create shortcuts to shared files ➕Keep originals where they belong 9/ Name files like you'll forget them ➡️ Because you will. If it wasn't documented, it didn't happen A simple document control system will make everything in your world move much faster Here's how to build a simple doc control system: 1. Create an electronic filing system for your documents. SOPs, forms, logs, specifications, test results, and documentation for each individual item/part in your building associated with the manufacturing process. 2. Name files consistently and descriptively. You should be able to tell what something is, when it was last updated, and whether it’s active or obsolete at a glance. “SOP_014_CleaningValidation_v3_2024-05” beats “Doc14_Updated” every time. Standardize whatever makes the most sense. 3. Lock down version control. Only one person (or role) should be authorized to make changes to master documents. Everyone else gets controlled copies. No more “Hey, I used the one from my desktop” shenanigans. 4. Track training by document. If you change a procedure, know exactly who was trained and when. Your training matrix should be best pals with your controlled documents list. 5. Archive the right way. Old versions shouldn’t disappear, but they should be clearly marked as inactive. Every document should have a history. If FDA or an auditor asks, you need to be able to retrieve and present previous versions. 6. Audit your system at least quarterly. Pick 3-5 documents at random. Check if they’re current, available, and implemented. If they’re not - now you know where to focus. The sooner you do this, the better You do not need a fancy document management product that costs $50k/yr I've seen $200MM businesses crush it with a Google Sheet Find what works for you and do it
