Summary

Digital document standardization means setting rules and formats so digital files are created, stored, and shared in a consistent way, making them easier to find, use, and trust. By following common standards, organizations reduce confusion, improve collaboration, and keep their records secure and reliable.

  • Use shared templates: Choose one format for key documents so everyone has the same experience, making information easier to track and understand.
  • Adopt consistent tools: Roll out the same document platforms across teams to create one reliable source of truth and simplify reporting and oversight.
  • Follow data lifecycle rules: Set guidelines for how documents are created, updated, stored, and eventually disposed of, ensuring records stay accurate and trustworthy from start to finish.

2025 Draft Revision of EU GMP Chapter 4 – Documentation Consultation Period: Open from 7 July to 7 October 2025, in parallel with updates to Annex 11 (Computerised Systems) and the new Annex 22 (AI) . What’s New in Chapter 4? • Expanded Scope & Structure: Updated from 9 to 17 pages, with ~50% completely rewritten and the rest heavily revised. A new glossary has also been added . • Data Governance Takes Center Stage: Mandates a risk-based data governance system covering data integrity across the entire data lifecycle—creation, processing, tracing, archiving, and disposal—whether in paper, electronic, or hybrid formats . • ALCOA++ Codified: Formalizes principles like Attributable, Legible, Contemporaneous, Original, Accurate, Complete, Consistent, Enduring, Available, Traceable for both static and dynamic data . • Comprehensive Documentation Controls: • Reinforced expectations for master documents, such as validation master plans and site master files. • Detailed rules on signatures, including permanent, electronic, and hybrid systems. • Clear retention timelines—especially for raw data and validation records—with controlled disposal protocols . Why It Matters • Aligns with Industry 4.0: Ensures documentation standards evolve alongside digital transformation and hybrid systems. • Raises the Bar on Data Integrity: Makes full lifecycle traceability and accountability a regulatory expectation. • Boosts Compliance Clarity: Reduces ambiguity around hybrid documentation, signature governance, and record longevity. What You Can Do Now • Explore the public drafts and consider submitting feedback via the EU Survey tool before 7 Oct 2025 . • Begin aligning your SOPs, documentation workflows, and digital systems with the proposed updates—especially around data governance and ALCOA++. #EUGMP #DocumentControl #DataIntegrity #ALCOAplusplus #GMPUpdate

Digital transformation slows when every team uses a different tool and a different template. Rule 5 – Standardize Tools and Templates Governance is impossible when teams track work in ten different ways then Standardization is not rigidity - It is clarity ! The right tools used the same way create speed and predictability. Here is what standardization looks like in real delivery: ➀ One source of truth All teams use the same platform for documents, decisions, and workflows, ⧆ Examples: SharePoint, Confluence, ServiceNow. ➋ One reporting structure Dashboards rely on the same fields and the same data logic, ⧆ No more custom spreadsheets in five departments. ➂ One template per output RACI, RAID, decision logs, workflow maps, ⧆ Same format - Same layout - Same reading experience ! ➍ One way of using tools Jira is not used one way by the PMO and another way by the tech team. ⧆ Custom rules destroy visibility. The goal is simple : Different teams with SAME system & Different roles with SAME rules ☀ 💬 What is the hardest part of standardizing tools in your organisation?

Today, tech writers are under pressure to deliver accurate, personalized, and instantly accessible content across a growing range of platforms and use cases. That's where the intelligent information Request and Delivery Standard (iiRDS) comes in. iiRDS is an open standard that anyone can use. It helps organizations deliver digital product information—such as service instructions, user manuals, and operating procedures—in a consistent, structured format. With iiRDS, content can be organized to make it easier to locate, share, and repurpose across different tools, platforms, and vendors. iiRDS started in Europe, but it's gaining global traction. It's now on the path to becoming an international standard through the International Electrotechnical Commission (IEC), the organization responsible for setting worldwide standards in electrical and electronic technologies. 👉🏼 Why iiRDS matters for documentation teams If you work on a technical documentation team trying to deliver personalized product information at scale—especially in manufacturing, medical devices, or other complex product environments—iiRDS can help you move from static documents to, structured content experiences. For example, imagine a field technician scanning a QR code on a device and receiving just the repair information that applies to the specific problem and their level of certification. No hunting through long PDFs. No irrelevant content. That's the kind of outcome iiRDS enables. ▶️ Check out the video here to learn more about iiRDS.

What if we replicate the business processes of paper-based document exchange in digital format? Will this help accelerate the transition to cross-border paperless trade? Interesting case of Enigio. Recently, I came across a quite interesting report from the #ICC #DSI. It features 22 case studies that showcase how digitalisation is transforming key processes in supply chains, including 4 areas: 🚢 Logistics and Shipping: Transitioning to electronic Bills of Lading (eBL) and digital tools reduces transaction times and enhances data reliability. 📑 Commercial Documentation: Blockchain and digital identity technologies increase transparency and reduce costs. 🌐 Cross-Border Compliance: National Single Windows and digital customs procedures simplify compliance and boost efficiency. 💳 Financial Services: Digital identity and e-records improve security and accessibility in financial transactions. Among all the examples, I found the case of Enigio particularly compelling. The company faced a common challenge for many businesses: digitisation of trade-related documents. While the business processes replicate the paper-based exchange, digital versions of shipping instructions, commercial invoices, certificates of origin, and more were created. These electronic versions are not only human-readable but also machine-processable, utilising a six-layer approach. Importantly, all documents complied with #KTDDE standards, ensuring compatibility across the entire supply chain. The transition required no complex integrations or new systems, making it seamless for all partners. What changed? The move to digital documents reduced transaction times, lowered costs, and simplified processes. With no need for physical couriers, operations became faster. Plus, documents are now easier to verify and securely manage, reducing the risk of fraud and errors.   It's interesting to hear about your experience, who already tried the Enigio solutions.   👉 Link to the report: https://lnkd.in/dsca9Gdr   #TradeFacilitation #DigitalTrade #PaperlessTrade #SupplyChain Patrik Zekkar Gunnar Collin Aleksandr Orel
