Stop treating AI like a search engine and start using it as an extension of your engineering workflow. šŸ› ļø As an AI Engineer, I don't just use these tools to "chat", I use them to reclaim at least 2 hours of my day from high-friction, low-signal tasks. In Day 8 of my #30DaysOfAIExplained series, I’m breaking down the 4 specific ways I leverage AI to stay in "flow state" longer: >> The Synthesizer: Turning 10-page technical docs into 3 actionable bullets. >> The Friction-Reducer: Auto-formatting messy meeting brain-dumps into structured Jira tickets. >> The Tone-Shifter: Reframing blunt critiques into constructive, scalable feedback. >> The Rubber Duck: Validating logic and spotting architectural flaws before the first PR. The best part? You don't need a massive corporate budget. Every resource listed in this deck has a powerful free tier. Which of these is already in your daily rotation? Or did I miss your favorite "secret" tool? Let’s talk in the comments. šŸ’¬ #GenAI #LLMs #Productivity #AIEngineer

AI is moving fast, but don’t let it move without you. This year, I made a mindset shift: From: ā€œAI is interesting, I should learn more about it.ā€ To: ā€œAI is a teammate, let me actually use it every day.ā€ That simple reframe changed how I work. Here’s how I use AI weekly- not in theory, but in practice: 🧠 Idea generation From podcast topics to product features, I use LLMs to explore angles I’d never think of alone. šŸ“„ Docs & writing Speed isn’t the only gain. AI helps me get past the blank page, structure faster, and punch up drafts. šŸ“Š Data & coding I’ve used AI to debug Python, generate scripts, and even mock up dashboards based on plain text input. šŸ“ˆ Growth Audience insights, trend spotting, CTA optimization. If it can be tested, AI can help scale it. 🧰 Stack: ChatGPT, Perplexity, Notion AI, GitHub Copilot, Midjourney, Rewind (and custom GPTs I’ve built for specific workflows) None of this happened overnight. But if you want to level up your productivity, creativity, and output, I genuinely think building your personal AI stack is the best investment you can make right now. Start small: → Pick 1 area where you’re stuck → Choose 1 tool to help → Try it for 1 week → Iterate, compound & build from there This isn’t about replacing you — it’s about augmenting what you already do best. AI isn’t the future. It’s the multiplier for the present. What’s your AI stack looking like right now? Drop a tool or use case you’re lovingšŸ‘‡ #AItools #Productivity #BuildInPublic #WorkSmarter #CareerGrowth #FutureOfWork

I've received a few questions on this, so thought I'd share 5 ways I'm using AI in my day-to-day at work to boost productivity, insight, and strategic clarity: Benchmarking: I use AI daily to quickly validate metrics and performance benchmarks. For instance, when reviewing email open rates, I ask ChatGPT (and other LLMs) for industry benchmarks segmented by email types, industries and content. This provides immediate clarity on performance against the rest, and I can see if we're good, great, or have work to do. This information was hard to find or non-existent before and instantly helps builld context. Thought Partner: LLMs elevate my strategic thinking. Whether analyzing competitors or drafting new strategies, I leverage AI to rapidly identify gaps, assess my thoughts against frameworks like "Seven Powers," and run game theory on them with competitive response and market players. It uplevels my thinking and leads to more comprhensive considerations. Deepening Customer Insights: By processing sales call transcripts and meeting notes through AI, I can surface customer pain points and uncover new insights, which improves my understanding of customer needs, sales blockers and messaging that otherwise would be hard to come by. Writing Partner: I use AI to power my writing process—from refining documents to constructing logical, concise, and compelling arguments. It helps draft outlines, provides examples and proof-points to reinforce my assertions, and streamlines my writing. All-in it makes my writing better and faster. Automating Daily Tasks: I use AI-powered tools daily to track competitors, monitor market trends, and check-in on things I care about. It never stops working and so I always have this information available as needed. Today, AI is integral to about half of my workday. And this is just the beginning—there's even more potential to unlock with automations such as reviewing and drafting replies for my emails, prioritizing which documents to review next, and automated meeting prep. How are you integrating AI into your workflow? I'd love to hear what's worked for you.

3 lessons from my #AI workshop on efficiency and productivity: 1. Prompt layering: Don’t ask once. Refine, role-play, and rerun Most users fire off one prompt and move on. Better users do this instead: - Start broad - Refine with context (ā€œAct as a hiring manager in KLā€¦ā€) - Layer on a second task (ā€œNow turn it into a 2-slide summaryā€) - Rerun the whole flow with a second AI for polish (like Gamma or Canva) Example: I watched a team generate a client-ready PPA proposal in 20 minutes. Prompt > Calculate > Visualize > Polish > Send. 2. Automate meetingsĀ afterĀ they happen Everyone talks about scheduling. Few talk aboutĀ what happens next. Use Otter.ai to - Auto-summarize meeting notes - Extract action items - Feed them into your project board or CRM That alone saved one client 3+ hours/week. 3. Use NotebookLM + ChatGPT for deep analysis. Not just surface answers - Instead of asking ChatGPT random questions, upload your internal reports into NotebookLM. Then try prompts like: ā€œSummarize the 3 biggest customer complaints in this docā€ ā€œWhat are weĀ notĀ saying that our competitors are?ā€ You’ll get insights your team missed, in seconds. Bottom line: If you’re only using ChatGPT to write emails, you're missing 80% of the value. Start thinking in systems, not one-off prompts.

People always ask how I actually use AI in my own workday. Here’s a behind-the-scenes look at the 3 AI tools I personally use every day — and how they help me stay productive, focused, and sane. A professional chef doesn’t need 100 knives to cook a great meal — they just need 3 or 4 perfect ones. AI works the same way. It’s not about stacking tools — it’s about finding the few that fit your workflow perfectly. 1 . Calendar AI I remember my days managing global teams across time zones. Scheduling became a full-time job itself. Now, I let an AI tool integrated with my calendar handle the jigsaw puzzle of my schedule - optimizing meetings, reducing conflicts, and blocking time for focused work. Pro tip: Train your AI with your preferences. I've taught mine that I need thinking blocks in the morning and prefer meetings after 11 am. 2 . Task AI Having managed teams of 832 people globally, I know the pain of prioritization. I've embedded my criticality-complexity framework into my task management tool - it doesn't just track your to-do list but intelligently prioritizes based on impact, deadlines, and available time. This isn't about handing over control - it's having a strategic partner that helps you focus limited time on what truly matters. 3. Meeting Transcription We've all been in meetings where we're frantically taking notes while trying to meaningfully participate - like trying to drive while texting. AI transcription tools free you to be fully present. They capture everything, generate summaries, and highlight action items. When I run strategic meetings, I assign a "human reviewer" to validate AI notes. The human-AI partnership is where magic happens. The power of these tools isn't in automating tasks - it's in augmenting your capabilities. Used correctly, AI can become your own personal Iron Man suit. What is your favorite AI tool? Let’s share our favorites in the comments.

I’ve heard hundreds of time management tips over the years, but 90% of them aren’t practical for daily use. Why? Because they’re: Ā  🚫 too theoretical 🚫 too abstract 🚫 too rigid These 5ļøāƒ£ are the ones I actually use every day—plus how to boost each one with AI (and the exact prompts I use). šŸ‘‡ 1ļøāƒ£ Prioritize ruthlessly Not every task deserves your time. Ask: If I only do one thing today, what will matter most? šŸ¤– AI prompt: ā€œHere’s my to-do list: [paste list]. Please organize these using the Eisenhower Matrix—urgent vs. important—and suggest which I should do, delegate, defer, or delete.ā€ 2ļøāƒ£ Use AI on the $10 task so you can focus on the $10K task If it’s low-impact or repetitive, delegate it to AI. Free yourself up for meaningful work. šŸ¤– AI prompt: ā€œHere’s a list of my current tasks: [paste list]. For each one, tell me if it’s a $10 task or a $10,000 task. Recommend which I should delegate to AI and which I should prioritize myself.ā€ 3ļøāƒ£ Eat the frog Tackle your hardest or highest-impact task first—before distractions set in. šŸ¤– AI prompt: ā€œHere’s my calendar and to-do list for the week: [paste or describe]. Identify which tasks are most critical and when I’m best positioned (energy-wise or schedule-wise) to tackle them first thing in the day.ā€ 4ļøāƒ£ Time-block more than meetings Protect chunks of time for deep, focused work—not just calls. šŸ¤– AI prompt: ā€œHere’s my weekly calendar: [paste or describe]. Help me find 3 time blocks for deep work. Optimize my schedule to reduce context switching and maximize focus.ā€ 5ļøāƒ£ Every ā€˜yes’ to something trivial is a ā€˜no’ to something meaningful Practice saying ā€œnoā€ with intention—your time is your most valuable asset. šŸ¤– AI prompt: ā€œAct as my personal scheduler and productivity coach. I’ll list recent tasks, meetings, or requests. For each one, ask: Does this align with my priorities? What am I giving up by saying yes? Is this the best use of my time? Then recommend whether I should accept, delegate, delay, or decline—and how to respond.ā€ ✨ Real game-changer: I don’t treat AI as a shortcut—I use it as a force multiplier. What’s your go-to time management tip? Drop it below šŸ‘‡

  • AI runs 80% of my daily workflow now. And it’s not magic it’s systems. When I started exploring AI tools, I downloaded everything that looked promising. Within weeks, I was overwhelmed and less productive. Most people think AI tools create instant results. They don’t. You don’t scale through tools. You scale through systems that connect the right tools in the right order. That’s where the AI Power Pyramid changed everything for me. Here’s the exact stack I use to stay efficient: 1. RecCloud / Tidio / Zapier / Calendly / PicWish — The Foundation Automate routine work like scheduling, customer service, and file management. This frees time for focused work. 2. Figma / Canva / Midjourney / Recraft — The Creation Layer Turn ideas into visuals. Figma and Canva for design. Midjourney and Recraft for fast, creative visuals that stand out. 3. ChatGPT / Claude / Grok — The Thinking Layer Used for writing, editing, and ideation. They help me plan, outline, and refine content every day. 4. Perplexity / Gemini — The Research Layer These tools cut research time dramatically. They provide reliable data and insights faster than any manual search. 5. Cursor —The Execution Layer Handles code, automations, and small internal tools that save hours weekly. This pyramid didn’t just make me faster. It changed how I work. Because AI isn’t about doing more. It’s about focusing on what matters most. Want to build your own AI Power Stack?

AI didn't take my job... It helped me get promoted. It also came up with that hook. šŸ¤– Now that I know you are invested in learning about AI, I want to show you some tools I am using to maximize my efficiency in my new fractional remote role. Like most people, I used to juggle countless apps, lists, and notes, only to end my day feeling overwhelmed and underproductive. But integrating AI into my workflow has completely changed the game. Here's the 3 tools that I currently use the most: Notion.so : Organize & Streamline Notion: Effortlessly structures my ideas, projects, and plans in one cohesive space. UseMotion.com : Prioritize & Schedule Motion: Transforms chaotic task lists into clear, prioritized schedules, reducing stress and boosting productivity. The automatic scheduling and rescheduling of tasks, directly into my Google Calendar has been incredibly powerful. Here in the next couple weeks I plan on integrating several more members of my Heron Labs team into the app as well so that all of our projects and tasks are immediately visible to eachother. No more back and forth emails trying to schedule a call. (A note here, Google Calendar recently rolled out a new native feature for scheduling calls based on your calendar that works really well too) ChatGPT.com : Create & Inspire ChatGPT: Fuels my creativity, quickly turning rough ideas into polished content and captivating visuals. By delegating routine decisions and overcoming creative roadblocks with AI, I've been able to assume more professional responsibilities without sacrificing personal family time or neglecting my farm/homestead chores. Time is my most valuable resource. AI tools help me me spend it wisely. How are you leveraging AI to optimize your time?
