    Feeling overwhelmed? Perhaps you just have the wrong productivity tools. The right toolkit is essential, especially if you are a founder. Starting a new venture will stretch you across many business areas. Some of which will be new to you - but all of them will eat up your precious time. It's easy to become inefficient, busy with low value donkey work, if you haven't found time saving apps and services that can give you focus and energy to devote to those high value activities which will make a difference to your success. These are my five star business tools: Calendly - the brilliant calendar-sharing tool that removes the endless back and forth of arranging meetings. For most new businesses or sole operators the free version is sufficient and it will integrate into your calendar, send confirmation emails and more. There is a subscription option which is relatively cheap with more functionality. OtterPilot - I've been using this transcription app for two years+ and it comes on every online meeting with me to record both the audio and transcribe the text. AI powered, it renders tremendously accurate transcriptions and provides really handy summary notes. I have the monthly subscription version so that I can have unlimited capacity, but the free version is also excellent. (Also works v well on your phone for live meetings). DocuSign - The inefficiency that this removes from my professional life is extraordinary. No longer do you have to oversee the print, distribution and physical signing of multiple deal contracts. If you don't have one then sign up for a free account. Upwork - need a designer? A coder? Copywriter? Employment law specialist? Upwork is the most reliable place I've found to post projects for freelance experts to come and work remotely on your projects. Setting up an account is a bit of a faff but once that is done the world of specialists opens up for you. Trello - probably the best project management tool for small enterprises (I'd say Asana is next step for larger teams). It's such a stable and reliable platform and - for people like me who like to see things visual - it lays out tasks in an intuitive way. Zoom Not just for meetings, I use it for client presentations, team check-ins, and even training recordings that save hours of repeated explanations. Here’s the key: These tools aren’t magic. They work because I committed to mastering them, learning every feature, creating systems, and training my team. Now? I get 3x more done in half the time. So stop hopping from tool to tool.     I’ve built 4 businesses in the last 15 years. As technology improves over time, each has been a little easier. Age 15: Started buying cheap gadgets and selling them to online Age 22: Founded Verb Brands, my luxury marketing agency Age 30: Sold the entirety of Verb Brands in an 8-figure deal Age 31: Launch Lottie with my brother Will Donnelly Age 33: Launched my Creator business Age 34: Building a portfolio of businesses and investing In 2024 becoming a business owner is easier than ever. Here are 5 tools that you should be using when starting a new business: 1. Organisation - Notion This is where I’ll organise all the active projects for my businesses. I have created my own dashboard where I can seamlessly go from one business to the next. 2. Sending Emails - Convertkit Convertkit currently manages my email list of over 150,000 subscribers. The platform is easy to use and very reliable meaning i can train new team members super quickly and there are lots of viral growth loops built in. 3. Hiring People - hotsourced.io Over the last 3 months, I’ve hired over 30 people for my businesses, while my personal brand often helps me attract top talent it can be hard to hire overseas. Hotsourced specialises in headhunting and serves as an employer-of-record agency trusted by top entrepreneurs and businesses. This means that it prevents the barrier for you hiring people from different countries by taking on administrative responsibilities like onboarding, compliance and payroll. They headhunt real talent with years of experience at top companies, or a third of the price in important roles. Full-time brilliant people have joined me at £10-12K a year, making your startup budget go much further. They are paid a top of market rate for their local destination, while you are being efficient with spend. 4. Productivity - Custom GPT AI has been taking over for the last couple of years and it has completely changed my businesses. The addition of customs GPTs means the previously long and drawn-out tasks are being completed in a fraction of the time. 5. Design - Canva or Figma My design team have created amazing graphics not only for my social media but for new websites and projects such as the Creator Accelerator. Canva and Figma have been our go-to’s for this. I’m not an investor in any of these companies. I just hope sharing these tools will help entrepreneurs succeed. NeetoRecord lets you create 200 videos per month for free. Loom's free tier is far more restrictive. NeetoForm, NeetoChat, NeetoDesk, NeetoInvoice, NeetoPlanner, NeetoCRM...the suite keeps growing. All built simultaneously. All priced to actually help small businesses instead of bleeding them dry with tier upgrades. Neeto processes 30,000+ bookings monthly through NeetoCal alone. The company shares everything publicly: revenue numbers, expenses, design decisions, mistakes. That level of transparency is rare. Plus they are solving a real problem most companies face: SaaS sprawl. Most companies build one product, scale it, perfect it, then maybe launch a second.
