Continuous improvement in SAP license usage

Summary

Continuous improvement in SAP license usage means regularly reviewing and adjusting how licenses are assigned and used in an SAP environment, so companies can avoid extra costs and make sure everyone has the access they actually need. This ongoing process helps organizations match their actual SAP usage with the right licenses and stay compliant with the latest audit requirements.

  • Audit user roles: Routinely check which users need advanced access and reclassify roles to prevent unnecessary license costs.
  • Monitor authorizations: Track who is using what features in SAP and adjust permissions to match real usage, especially before audits and renewal periods.
  • Utilize reporting tools: Run internal measurement reports and use SAP tools to simulate license audits, so you can spot and resolve over-allocation issues ahead of time.

💣 SAP RISE FUEs: The Licensing Puzzle That Can Blow Your Budget “So, how will you fit 1,000 users into just 550 FUEs in SAP RISE?” Sounds like a circus act, doesn’t it? But this is exactly the kind of puzzle you need to tackle in the Full Usage Equivalents (FUEs) world of SAP RISE. So, what is an FUE? Think of FUEs as SAP’s “one size fits all,” quirky unit of measure for cloud licensing under RISE. Instead of buying specific license types for each user, you buy FUEs that can cover different user types. Think of it as SAP’s version of a gym membership. It does not care who shows up, only how hard they work out. For example, SAP says: ·        1 “Advanced” user (a heavy-duty user) = 1 FUE. ·        5 “Core” (functional users) share 1 FUE ·        30 “Self-Service” (approvers or light users) are equal to 1 FUE Sounds flexible? It is. So, where does the cost come from? FUEs are not free. In RISE, you are not paying for names; you are paying for capability. So, if you plan to give everyone blanket access to all modules, you are consuming 1 FUE each for every user, and SAP will happily charge you a bomb for that! So how you fill those FUEs matters a lot of money. That is why FUE optimization is critical and should not be ignored. And the trick to do FUE optimization starts with some brutally honest housekeeping to clean up the junk (which we mostly did not do in ECC): ·        Reclassify users: Who really needs full access? ·        Redesign roles: Why does your warehouse picker have access to Treasury? ·        Run usage reports: If someone has not logged in since Christmas 2022, they probably do not need a license now. Once you religiously do the above, fitting 1000 users into 550 FUEs is totally doable. By being ruthlessly efficient with user classifications and permissions, you ensure you are paying only for what is needed and trimming the fat accumulated in ECC over the years. And besides the substantial cost savings, you would have fewer roles to migrate, which is a nice bonus for your project timeline and sanity. Just remember in SAP RISE, less is more, and optimization is not optional; It is financial self-defence with a side of role hygiene. #SAPRISE #SAPS4HANA #SAPLicensing #SAPTransformation #CloudERP #SAPBTP #DigitalTransformation #ERPStrategy #SAPImplementation #SAPOptimization

The clock is ticking, and the game is now underway. #SAP has activated its new license measurement process for RISE with SAP FUE (Full User Equivalent) Subscription, following its official go-live last year. This updated approach brings a significant change: User consumption is now measured based on actual authorizations assigned. In simple terms, the roles and access granted to users are directly tied to how SAP calculates FUEs during audits. #KeyPoints to Consider: 1. SAP now captures detailed user authorizations to classify each user (Advanced, Core, Self-Service). 2. This allows SAP to align FUE subscriptions more accurately with how the system is being used. 3. It is critical for organizations to proactively review and optimize user roles and authorizations before SAP runs its license audit. 4. 99.9 % of user's are measured as a #AdvancedUser, proactive need to work on authorization #WhatShould You Do? To assess your license usage internally and prepare before SAP's official measurement, implement the following SAP Notes in your RISE S/4HANA system: 1. SAP Note 3113382 – Framework for Role-Based License Measurement (Need to be in Production) 2. SAP Note 3333812 – Enhancements and Fixes for FUE Measurement Logic (Need to be in Development) These notes enable you to simulate SAP’s updated logic and generate internal measurement reports, helping you adjust and optimize before facing the monthly audit cycle. RISE with SAP license audits are no longer just a one-time task — they’re now a continuous reality. It's time to take control of your authorizations before the audit does it for you.
