    Everything is urgent! Until it cost $100K in missed deliverables That's what my customer kept saying. Every email marked "ASAP" Every request needed "immediate attention" My team was drowning in priorities. Sound familiar? Here's how we turned chaos into clarity: First, we used the Eisenhower Matrix: → True urgency: System outages → Important but planned: Feature releases → Delegate: Minor updates → Eliminate: Nice-to-haves The key? We did this WITH the customer. They helped categorize each request. Their buy-in made all the difference. Without it, this would have been just another failed process. The result? ✔️ Less team overwhelm ✔️ Clearer project milestones ✔️ Happy customer (they got what mattered) But here's the full toolkit smart leaders use to prioritize: 1. Eisenhower Matrix → Urgent vs important. Know where to focus → Spend less on fires, more on impact 2. Pareto Principle (80/20) → The vital few drive most results → Focus on the 20% that matters 3. Warren Buffett's 5/25 → Choose 5 goals, ignore the other 20 → Cut distractions to stay locked on priorities 4. RICE Method → Score by reach, impact, confidence, effort → Rank smart to get maximum return 5. MoSCoW Method → Must, Should, Could, Won't → Define essentials, defer the rest 6. ABCDE Method → Label tasks A–E, focus on A’s. → Do must-do’s first, delete E’s. But what about daily operations? Here's how I use these methods to spend more time with clients: 7. Time Blocking: 2 hours of deep client work daily → No meetings, no interruptions → Pure focus on their needs 8. Eat That Frog: Tackle client deliverables first → Before inbox & admin work → Fresh mind = best solutions 9. Batching: Group operational tasks → One focused admin block daily → Everything else? It also came up with that hook. 🤖 Now that I know you are invested in learning about AI, I want to show you some tools I am using to maximize my efficiency in my new fractional remote role. Like most people, I used to juggle countless apps, lists, and notes, only to end my day feeling overwhelmed and underproductive. But integrating AI into my workflow has completely changed the game. Here's the 3 tools that I currently use the most: Notion.so : Organize & Streamline Notion: Effortlessly structures my ideas, projects, and plans in one cohesive space. UseMotion.com : Prioritize & Schedule Motion: Transforms chaotic task lists into clear, prioritized schedules, reducing stress and boosting productivity. The automatic scheduling and rescheduling of tasks, directly into my Google Calendar has been incredibly powerful. Here in the next couple weeks I plan on integrating several more members of my Heron Labs team into the app as well so that all of our projects and tasks are immediately visible to eachother. No more back and forth emails trying to schedule a call. (A note here, Google Calendar recently rolled out a new native feature for scheduling calls based on your calendar that works really well too) ChatGPT.com : Create & Inspire ChatGPT: Fuels my creativity, quickly turning rough ideas into polished content and captivating visuals. By delegating routine decisions and overcoming creative roadblocks with AI, I've been able to assume more professional responsibilities without sacrificing personal family time or neglecting my farm/homestead chores.     Unclear and conflicting priorities can disrupt your timeline and cause product delays. If you want to do everything at once, you won’t be able to do anything. Instead, focus on the most critical items and add everything else in the backlog to consider later. There are many prioritization frameworks available to help you. Pick one of the frameworks, define your criteria, and score and rank all the items. Let’s dive in, 1. MoSCoW Method The MoSCoW method helps you categorize tasks into Must Have, Should Have, Could Have, and Won’t Have. This framework is crucial because it ensures you focus on the most critical features first. To use this method, list all your tasks and classify them into these four categories to prioritize essential features and address less critical ones later. 2. RICE Scoring Model The RICE model evaluates tasks based on Reach, Impact, Confidence, and Effort. (Reach * Impact * Confidence) / Effort = RICE Score List all the features and assign scores to each criterion, then calculate the RICE score to rank them. This method is effective because it quantifies the potential value (impact) and effort required for each feature. 3. Kano Model The Kano model differentiates between basic features, performance features, and delighters. Researcher Noraki Kano developed it to help product managers prioritize features and updates based on customer needs. This framework is important because it helps you understand what features will meet basic user needs and which ones will exceed expectations. 4. Value vs. Effort Matrix The Value vs. Effort Matrix helps you plot features on a 2x2 grid based on their value and the effort required. This visualization makes it easy to identify high-value, low-effort items. Plot each feature on the matrix and focus on those in the high-value, low-effort quadrant. This ensures that you’re investing your resources in the most efficient way possible. 5. Weighted Scoring Weighted Scoring involves assigning weights to different criteria based on their importance and scoring each feature accordingly. Define your criteria, assign weights, and score each feature to prioritize those that score the highest. 6. Cost of Delay The cost of Delay evaluates the economic impact of delaying each feature. This approach helps you prioritize features that, if delayed, would result in significant financial loss. Calculate the cost of delay for each feature and prioritize those with the highest cost to minimize financial impact. 7. Opportunity Scoring Opportunity Scoring focuses on identifying opportunities based on customer needs and the difficulty of meeting those needs. By following these frameworks, you’ll be well on your way to effective prioritization in product development. Work on the highest priority items and avoid spending efforts on less important work. This will help you stay focused, avoid unnecessary work, and ensure timely product launches.
