What is a Duplicate Rule

A duplicate rule helps you to define what happens when we view a record with duplicates or create a duplicate record. Salesforce provides standard out-of-the-box duplicate rules for accounts, contacts, and leads. Based on business requirements you can also create custom duplicate rules in Salesforce.

With duplicate rules, we can define what happens when Salesforce finds a matching record and determine the right actions to take.

Matching Rule :

A matching rule helps you to define how duplicate records are identified in duplicate rules and duplicate jobs. With matching rules, we can define the criteria to identify duplicate records. With this, a business can make sure the agent does not create duplicate records based on Contact Email 

Implementation Steps:

  • First head over to Setup and type in Duplicate Rules in the quick find box.
  • Then, select duplicate rules.
  • This will provide you with a list of different rules.

  • Now create a Matching Rule For Email

  • After creating a matching rule, activate the matching rule and save and activate the duplicate rule.

Testing:

Now we clone the same contact and click on the save. Then we get the below error because our matching rule fires an error message.

  1. What is the difference between the matching rules & duplicate rules Duplicate Rules: Uses matching rules to control when and where to find duplicates. Matching Rules: Identifies what field and how to match. For example, “Email Field, Exact Match” or “Account Name, Fuzzy Match”.
  2. How many duplicate rules can be active in Salesforce? You can use up to five active duplicate rules per object. You can add up to three matching rules in each duplicate rule, with one active matching rule per object. When you use multiple duplicate rules, you can include up to five active matching rules per object.
  3. Why is duplicate data a problem in Salesforce? Duplicate data creates confusion on which record should be used. Both Matching Rules and Duplicate Rules work together and sometimes block duplicate data. This functionality applies to Account, Contact and Leads. There are some standardized rules that come out of the box with Salesforce Essentials.
