Delegate using ChatGPT

Oi, oi, time for a quickie?

This week, I spoke to a manager who confessed they avoided delegation. “It always ends up being more work for me in the long run,” they said.

But poor delegation can feel like a time trap, but it doesn’t have to be.

So, I recommended they use ChatGPT.

No, not the AI — the mnemonic that would help them delegate effectively and free up their time to lead.

Chat

Start by chatting with the person you’re delegating to.

Not to tell them what to do; this is about opening a dialogue.

A proper chat helps you set the scene for delegation, ensures they feel involved, and makes it clear you’re there to support—not dump work on them.

But what do you say during your 'chat'?

Simple, use the GPT mnemonic as a guide:

G - Goal

Agree on the goal you want to achieve.

The key here is to focus on the outcome, not the process.

Be crystal clear about what success looks like so there’s no confusion. After all, if the goal isn’t clear to you, it won’t be clear to them either!

P - Process

Ask them how they think they’ll achieve the goal.

This serves two purposes:

  1. It helps you check their understanding of the goal.
  2. It give you an understanding around how much help they're likely to need from you.

BTW, resist the temptation to dictate their process — your way isn’t the only way, and this step empowers them to take ownership.

T - Timeframe

Finally, agree on a timeframe for future check-ins.

First, let them suggest how often they think is appropriate.

If they say more often than you think, brilliant, the shouldn't feel micromanaged.

If, however, they say less often that you think, explain to them why and and negotiate from there.

NOTE: If you’re wondering what a good starting point is for your first check-in, think about the longest amount of time you could wait before needing to know if something is off track. I know you’d like to know straight away, but realistically, how long could you wait and still have time to intervene? Use this as your starting point.
