𝗧𝗵𝗲 𝗖𝗵𝗶𝗵𝘂𝗮𝗵𝘂𝗮 𝘀𝘆𝗻𝗱𝗿𝗼𝗺𝗲 (The art of creating stuff that's already there). - " Can you create a new reference for report xxx? " - " It already exists in the system, under the name zzz". All Document Controllers have had that conversation, and that is a part of our daily discipline. As a golden rule, you 𝗻𝗲𝘃𝗲𝗿 create before triple checking that it doesn't already exist. Duplicates are the ultimate enemy!💣 #DocumentControl

A clear file naming convention improves document control, traceability, and eliminates confusion such as “which version is the correct one?” Good naming standards today reduce errors and rework tomorrow.

Right now your docs are probably functioning as a library that no one can navigate. Every question has an answer *somewhere*. But the person reading at 11pm trying to decide whether to adopt your tool? They don't need answers. They need a decision. Here's the framework I've been building toward: Documentation has three jobs, and most teams are only doing one of them. Day 0 docs answer: Should I use this? Evaluation. Comparison. "Here's what this is and who it's for." The reader hasn't committed yet. Day 1 docs answer: How do I start? Onboarding. First success. Get them to working as fast as possible. Day 2 docs answer: How do I operate this in production? Edge cases. Troubleshooting. Advanced configuration. The reader has already bet on you. Most documentation treats all three readers the same. It gives Day 2 depth to Day 0 readers (who leave before they start) and Day 0 hesitation to Day 1 readers (who needed confidence, not caveats). This mismatch isn't a writing problem. It's a classification problem. And it just got more urgent: LLMs and agents are now the first readers of your docs. They don't browse. They parse for decisions. If your docs don't signal which decision phase they serve, the model can't route correctly — and neither can the human. I built doc-audit to make this visible. It scans your markdown files and classifies them by decision phase so you can see where your docs are dense, where they're missing, and what your readers are actually hitting. The tool is at doc-audit.clouddani.com. The full framework is on DEV.to (link in comments). What phase does your documentation fail hardest at?

Claude Code 2.1.100🎉 The new /advisor command is now available. /advisor [ opus | sonnet | off ] By defining the /advisor template, it appears that the Advisor can now review the main agent's work in a consultative manner, like a second opinion, before tasks are completed, upon completion, or when errors occur and the problem cannot be resolved.

What is the document control workflow? A well-defined workflow is essential to ensure documents move smoothly across teams without confusion or delays. A clear workflow helps maintain consistency, avoid errors, and ensure everyone is working with the correct information at the right time. 💡 Tip: Always follow a standardized workflow—skipping steps can lead to miscommunication and version issues.

Behind every smooth business operation is usually something most people never see: clean paperwork, organized records, and a process that does not fall apart the second volume increases. That side of business is rarely exciting, but it matters. When documents are disorganized, everything slows down. Turnaround gets delayed, follow-up becomes harder, and important information becomes harder to find when it is actually needed. At OuroDocs, we focus on making that part easier. Our goal is simple: help businesses reduce document chaos, improve consistency, and create a cleaner path from incoming paperwork to usable output. Reliable systems are built one process at a time. #OuroDocs #Operations #DocumentManagement #ProcessImprovement #BusinessSupport #Productivity #AdministrativeEfficiency
