One of the most challenging experiences in Document Control is when the importance of proper systems is underestimated at the beginning of a project. In one of my previous assignments, the management initially decided to proceed with a fully manual document control process for a large-scale project, despite recommendations to implement an EDMS (Electronic Document Management System). As expected, after about a year, the project began facing delays due to slow document processing, version confusion, and lack of a structured single source of truth. Eventually, the need for EDMS was recognized, but by then valuable time had already been lost. This situation highlights how critical it is to establish the right document management framework from day one, especially in complex engineering and construction projects. Experienced Document Controllers often provide recommendations based on lessons learned from past projects. Listening to such inputs early can significantly improve efficiency, collaboration, and overall project performance. “Document control is just a support role.” I’ve heard this more times than I can count. Until something goes wrong. A wrong revision gets used. An outdated drawing reaches site. A missing document delays approvals. And suddenly, document control becomes everyone’s priority. Here’s the uncomfortable truth: Most project issues don’t start on site — they start with poor document management. One small documentation error can impact timelines, coordination, and cost. Yet, the role is still underestimated. Document Controllers don’t just “manage files.” They protect the integrity of the entire project. Lately, I’ve seen a troubling trend of DC professionals being treated as mere "admin support" rather than the technical gatekeepers we are.
