Many of us pour hours into perfecting slide designs, transitions, and aesthetics, but forget to ask: “Can everyone access this presentation?” Presentations are how we teach, persuade, and share ideas. But too often, even with the best intentions, our slides only speak to part of the audience. For someone with low vision, a colorful chart without a description is invisible. For a deaf participant, a video without captions is silent. For someone using a screen reader, an untagged slide deck is a wall of confusion. Accessible presentations are about respect, clarity, and connection, making sure everyone can engage with our message, not just see our slides. A 2024 arXiv study (the link to the article: https://lnkd.in/eY9G8JZf) found that fewer than 3.2 % of digital documents met basic accessibility standards. That includes many presentations shared as PDFs. Here are key practices I use and recommend to make slide decks inclusive (more links are in the comments): 1️⃣ Structure is everything Use built-in layouts and unique slide titles. Screen readers rely on that order to navigate. 2️⃣ Add alt text and describe visuals aloud Images, icons, charts: all need meaningful alt text. And when presenting, describe key visuals verbally. 3️⃣ Use clear contrast and readable fonts Choose sans-serif fonts (min 24 pt), avoid color-only cues, and ensure strong contrast ratios. 4️⃣ Be mindful with motion Animations, flashing transitions, or auto-advancing slides can disorient or even cause physical reactions. Please use motion sparingly and purposefully. 5️⃣ Caption videos and share handouts All video and audio content should have captions or transcripts. Share your slides (or an accessible PDF) before and after the session. 6️⃣ Test with real assistive tools Run PowerPoint’s built-in Accessibility Checker, but also try navigating slides with a keyboard or screen reader. Another exciting day of learning! Today’s session was all about getting familiar with the Layers Panel — where every object we create is recorded and organized. I learned how to: - Rename objects for better structure. - Lock and hide objects when needed. - Hide the Layers panel to focus on the workspace. - Use the Zoom tool and Hand tool to navigate easily across the design canvas. It’s fascinating to see how these fundamental tools help keep designs neat, efficient, and professional. In my latest project I was given a 2D PowerPoint slide on quantum tunnelling as a reference and I rebuilt it as a 3D visual experience. Same message, clearer intuition.
