LinkedIn Scheduler eliminates the back and forth of scheduling initial interviews with candidates by enabling recruiters to automate scheduling through InMail in LinkedIn Recruiter.
Scheduler FAQs
Check out some frequently asked questions about Scheduler.
Scheduler integrates your Microsoft or Google calendar with LinkedIn Recruiter, allowing you to share your availability with candidates and schedule interviews directly through InMail.
-
Microsoft: Scheduler is compatible with Exchange Online (Office 365/Outlook) accounts. As of March 1, 2023, Microsoft integrations will only work with cloud deployments. Microsoft will no longer allow Hybrid Deployments to access calendar and mailbox APIs. See Microsoft 365 email and calendar activation guide for activation instructions.
-
Google: Scheduler is compatible with Gmail accounts. See Google Workspace email and calendar activation guide for activation instructions.
Once your Entra ID (formerly Azure) or Google Workspace IT admin has integrated Recruiter and your Recruiter admin has selected a provider, you can go to Product settings > My Account Settings > Email & calendar > Work calendar > Authorize.
If you’d like to turn off this integration for your inbox only, you can go to Product settings > My Account Settings > Email & calendar > Work calendar > Deauthorize.

| Need admin approval | Your organization may not have granted the correct access to our application for you to use this feature. | Please share the following information with your IT administrator or systems administrator to grant this access. - Google Workspace email and calendar integration guide - Microsoft 365 email and calendar integration guide |
| Not assigned access to the application by your admin | Your organization may have granted access to specific users but not to you. | Ask your administrator to add you to the list of people who are allowed to access this application. They can reference these guides. - Google Workspace email and calendar integration guide - Microsoft 365 email and calendar integration guide |
| Can’t authorize the email address | The email address you are trying to authorize may not have a mailbox or calendar associated with it (e.g., xyz@gmail.com may only have a Google Drive associated with it and your company uses xyz@outlook.com for email and calendar purposes, or you attempted to use an alias or team/shared inbox). | Ask your Recruiter admin to ensure that the email and calendar provider selected for the contract is the provider you use for email and calendar services. In addition, ensure that you are not using an alias or an email address without an inbox or calendar. |
| Email address doesn’t match the selected provider | The email address you are trying to authorize may not match the provider that was selected by your Recruiter admin. | Ask your LinkedIn Recruiter administrator to change the email and calendar provider for the contract to the provider you use for email and calendar services. |
| Email address is hosted on-premise | The email address you are trying to authorize may be hosted on-premise rather than online/on your email provider’s cloud. | Ask your administrator to migrate the email address so it is hosted online/on the provider’s cloud. |
| Calendar is not hosted by Google or Microsoft | The calendar you are trying to authorize may not be hosted by Google or Microsoft. Gmail and Outlook are the only email providers currently supported. | Use an email address associated with the provider that is selected by your admin, either Google (Gmail) or Microsoft (Outlook). |
| Network requests for oAuth flow aren’t going through for your email provider | Your organization’s firewall may be configured to prevent network requests needed by the oAuth flow with your email provider. | Ask your administrator to enable network requests for oAuth with your email provider. |
| Scheduler authorized/deauthorized/reauthorized error | If you previously had Scheduler authorized and then deauthorize and try to reauthorize, you may encounter an error as a result of LinkedIn switching to a new application version for the email and calendar integration with Google or Outlook. | Reach out to your IT admin to get the new application approved using the integration guides before attempting to reauthorize your email or calendar. - Google Workspace email and calendar integration guide - Microsoft 365 email and calendar integration guide |
| Insufficient scopes | When providing permissions, you may have deselected some permissions. You need to grant us all the permissions requested. | Try again and grant all the necessary permissions. |
| Mailbox error message | Your mailbox may be inactive, soft-deleted, or hosted on-premise (only cloud mailboxes are supported). | Work with your Recruiter admin and/or IT admin to resolve. |
| Email address does not have a mailbox associated with it | The email address does not have a mailbox associated with it. | Try again with a different email. |

No. Currently, you can only use Scheduler to schedule initial interviews between the authorized individual Recruiter user and the candidate.
Yes. You can use Scheduler from within an existing InMail conversation. Select the existing conversation in your inbox and follow the steps to share your calendar with the recipient.
Yes. Because the link generated within the InMail to Scheduler is recipient-specific, you can use Scheduler when sending bulk InMail messages.
Yes. Candidates can reschedule interviews directly within Scheduler. Because you have already synchronized your calendars, candidates can view your updated availability. If the candidate reschedules the interview after they have scheduled the initial interview, Scheduler sends another response to your InMail confirming the new meeting date and time.
If the link has expired, the candidate should send you an InMail response instead of rescheduling through Scheduler.
There is no limit. As long as the calendar is synced, a candidate can schedule any date or time that aligns with your Recruiter settings and calendar availability.
No. You cannot transfer meetings scheduled through Scheduler if a seat holder's seat is reassigned to a new seat holder, since Scheduler cannot confirm or guarantee availability on the new seat holder's calendar.
Yes, you should receive a calendar invite with the appropriate meeting link or phone number for the meeting once a candidate confirms a time.
No, at this time, candidates must manually add the event to their calendar from the confirmation screen after selecting a time for the meeting.
No, at this time, LinkedIn Scheduler doesn't allow you to schedule same-day meetings.
Video conferencing integrations FAQs
Check out some frequently asked questions about video conferencing integrations in Scheduler.
If you already have your calendar authorized for 1:1 scheduling, you’ll need to have your Recruiter admin follow the activation guides listed in Video integrations for calendar scheduling in Recruiter to activate a video conferencing provider for your contract.
Once you authorize your Microsoft or Google calendar with LinkedIn Recruiter, LinkedIn Scheduler automatically pulls your pre-scheduled calendar and combines it with your Scheduler settings. When you send a message to a candidate, you can directly share your calendar in the message so the candidate can see and book the best time to connect with you. LinkedIn Recruiter users can also choose to include a video conferencing link in the message. See Share your calendar availability over InMail with LinkedIn Scheduler to learn more.
After you authorize your work email and work calendar settings, you can customize your default LinkedIn Scheduler settings within LinkedIn Recruiter, including how long meetings last, your preferred time zone, your preferred meeting type (if video conferencing is enabled on your Recruiter contract), and your windows of availability. See Customize your default LinkedIn Scheduler settings for more information.
