Job Title:Creative Operations Specialist, Media Creative

Location: Bolingbrook, IL

Duration: 6+ months

Summary

The Creative Operations Specialist, Media Creative plays a critical role in driving the day-to-day operational efficiency of the Media Creative team. This position partners closely with the Creative Operations Manager to ensure creative projects are effectively briefed, planned, tracked, and delivered on time across paid and retail media channels.

This individual is highly organized, detail-oriented, and collaborative, acting as a key liaison between Creative, Sales, Account Management, Production, and external partners. The role is responsible for translating business needs into clear, actionable workflows; supporting intake and briefing processes; managing timelines and tracking; and ensuring consistent communication throughout the creative lifecycle.

By maintaining strong operational rigor and proactive communication, the Creative Operations Specialist enables the creative team to focus on delivering high-quality, brand-forward work that drives performance and value for brand partners.

Responsibilities

Creative Operations & Project Execution

  • Support end-to-end creative operations across Media Creative projects, including intake, briefing, timeline management, resourcing support, and delivery tracking.
  • Assist in the creative intake and briefing process by gathering required information, reviewing submissions for completeness, and identifying gaps or risks.
  • Build, maintain, and update detailed project timelines, status reports, and tracking documents to ensure milestones are clearly defined and achieved.
  • Coordinate day-to-day project execution, ensuring tasks progress efficiently through each stage of the creative workflow.

Workflow, Communication & Coordination

  • Facilitate communication across Creative teams, cross-functional partners, and external agencies or freelancers to ensure seamless collaboration.
  • Organize and support status meetings, standups, and creative reviews; document key notes, action items, and follow-ups.
  • Communicate creative requirements, best practices, and guidelines to partners to maintain consistency and quality across deliverables.
  • Proactively identify and escalate risks, timeline challenges, or resource constraints to the Creative Operations Manager.

Tools, Systems & Reporting

  • Maintain accurate project tracking within creative operations and project management tools (e.g., Workfront, Monday.com, Microsoft Office).
  • Support continuous improvement of workflows, templates, and SOPs in collaboration with Creative Operations leadership.
  • Organize and maintain creative documentation, process resources, and partner-facing materials.

Collaboration & Team Support

  • Partner closely with Creative, Design, and Production teams to ensure projects are properly scoped and resourced.
  • Collaborate with Strategy, Sales, and Account Management teams to support brand partnerships through coordination of materials, timelines, and expectations.
  • Contribute to a collaborative, solution-oriented, and high-performing team environment.

Job Requirements

  • Bachelor s degree in Marketing, Design, Business, Project Management, or a related field (or equivalent experience).
  • 2 4+ years of experience in creative operations, project management, trafficking, or creative services.
  • Experience working with creative, marketing, or design teams; agency or retail media experience preferred.
  • Familiarity with digital creative across channels (social, video, onsite, and offsite media) is a plus.
  • Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
  • Excellent written and verbal communication skills with a collaborative approach.
  • Proficiency in project management and collaboration tools (e.g., Workfront, Monday.com, Figma, Microsoft Office, PowerPoint).
  • Detail-oriented, proactive problem solver who thrives in a fast-paced environment.
  • Passion for creative excellence, operational efficiency, and supporting high-performing teams.
